Events and stands

We kindly ask those organizing stands to avoid distributing leaflets, brochures, and other disposable items. If you are serving food and drinks, we recommend using compostable materials. Helium balloons are not permitted.

Posters

Posters and similar printed materials can only be hung on bulletin boards and other places designated by UiO. It is not permitted to hang anything on doors, walls, or windows.

Stands

Anyone wishing to set up a stand must have permission from the Estate Department. Permission is granted for one day at a time. A stand may consist of tables, chair, posters, signs, roll-up banners, or L-framed poster stands. A-framed poster stands are not allowed.

Who gets permission?

Student associations and UiO employees can get permission to have a stand for activities aimed at students and employees. Examples of this include information about social events, student association activities, political meetings, and humanitarian initiatives started by students.

Things do remember

  • The application must be submitted no later than one week before.
  • You must have the permission from the Estate Department available at the stand.
  • Making waffles or preparing food and drinks is not permitted indoors. If you wish to make waffles outdoors, you must specify this in your application.
  • Printed materials cannot be distributed through outreach activities, but can be made available at the stand.
  • We allow stands with branded tents and beach flags (up to five meters tall) outdoors.
  • The use of amplified speech or music at the stand is not permitted. The organizer must clean up after themselves every day. Stalls and stands cannot be stored on the university premises, but must be brought in and removed every day.
  • The organizer must provide their own tables and other equipment.
  • If you need to borrow tables, these can be ordered through Estate Services after the stand application is approved, and at the latest, two days before the stand. We cannot guarantee that we have equipment available.

Conferences, award ceremonies and other

Large banners may be permitted in connection with conferences, award ceremonies, and other similar large events, provided that they do not conflict with the protection status of the facades.

  • The size of the banner is adjusted according to the buildings or areas they are to be displayed on.
  • The banners must clearly indicate who the organizer and sender are (in large letters) and who the sponsors and partners are (small logos).
  • Large banner with only the logo of commercial entities, sponsors, or partners are not permitted.

Clean up after yourself

  • Those responsible for the stand must clean up after themselves every day.
  • If anything has fallen on the ground, it must be picked up sorted for recycling.
  • If the cleaning is not satisfactory, you will be invoiced afterwards. Additionally, you will lose the opportunity to participate next time.
