What can I store on OneDrive?

  • What's special about OneDrive is that it's easy to share the information that's there. So in general we can say that what you keep on your OneDrive, is stuff you want to share with others you're working with, where other sharing and collaboration platforms can’t be used or where OneDrive is defined as the interaction platform.
  • OneDrive should not replace existing workflows with data storage on the UiO servers, in ePhorte, Vortex or similar. Neither is OneDrive a location for permanent storage of data. Data to stored or filed has its defined location in one of the other UiO tools. If you are unsure of how and where you should store and file different kinds of information, you should ask your nearest manager.
  • OneDrive should not replace Canvas, which is UiO's learning management system, but can be used with Canvas, for collaboration projects and other.

Which classes of information can be stored on OneDrive (part of Office 365 on UiO)

The UiO IT Security Manager has ruled that data of these classes can be stored temporarily on OneDrive:

  • Green – Open, or Freely available
  • Yellow – Limited access

Why?

The decision has been taken for safety reasons and for compliance with the IT regulations at the UiO and Norwegian privacy legislation.

Examples of green and yellow data can be: work papers, research articles (drafts and finished papers), doctoral theses, research data (images, statistics, and other results), teaching materials, and other business-related information that is not sensitive.

What about confidential and sensitive data?

Red data (Confidential data) and Black data (Strictly confidential data) can not be stored in OneDrive, regardless of whether it is your UiO Office 365 OneDrive or another OneDrive you have access to.

Examples of sensitive data are: data linked with name, salary, address, health profiles, dietary habits, or it may be MR images, DNA data, video, photos of patients, etc.

Storing such data in cloud storage like OneDrive, is in breach of privacy laws and thus violates Norwegian law and the IT regulations of UiO. Sensitive data must be processed in systems approved for that purpose.

What about private data?

You can store private data on OneDrive, but remember to move them when you plan to leave the UiO. When you no longer work or study at the UiO, you will no longer have access to the UiO logon OneDrive.
