Standard IT Equipment
Employees at PSI are generally provided with one portable IT device, covered by the department's IT budget. The portable device includes a port replicator/docking station with an external monitor, keyboard, and mouse. Alternatively, a desktop computer may be provided if needed.
- The standard IT device should ideally be Windows-based, as this system is well integrated with both UiO's and external services. This ensures a good workflow at the office, home office, and during travels.
- The IT device is standardized and configured to meet the needs of typical teaching and research work, as well as office tasks.
- Standard equipment will be available in stock and can be replaced relatively quickly in the event of failure.
- Mac devices can be offered exceptionally after an assessment that must be justified academically. Purchasing and operating Mac devices are often more expensive per unit than Windows-based PCs.
- Since Mac is not standard equipment, the IT department does not have such devices in stock, which may result in longer repair or replacement times in case of failures.
Other Equipment
The need for equipment beyond the standardized IT device is, in most cases, considered equipment for scientific activity and should generally be covered by funds outside the department's IT budget.
- Such needs shall be clarified with the department after a comprehensive assessment, where the IT department conducts a technical review and assessment in consultation with the user.
- To avoid PSI purchasing multiple copies of equipment that is rarely used, a rule of thumb is to first check if there is already available equipment at PSI that meets the need.
- Equipment must always be purchased by the IT department.
- All equipment must generally adhere to UiO's current operational framework.
Expected Lifetime
Equipment is intended to have at least a lifetime that aligns with the warranty and service period.
Research Projects
The IT department must be involved in the assessment of needs and budgeting of projects. Hardware and software required to implement a project should be as comprehensively assessed as possible during the project application process. In connection with the planning of a research project, an operational plan should be outlined, and a replacement plan for hardware should be made if the project's duration requires it.
The IT department will also evaluate and recommend the use of existing UiO infrastructure if it is more economical and better.
Joint Purchase of Equipment
To drive prices down, UiO conducts a joint purchase twice a year for standard equipment, usually in May/June and November/December. The department's policy is to utilize UiO's joint purchases, and equipment outside these periods is purchased to a limited extent. Employees report their needs ahead of these purchases. Price will be an important factor in the types of machines that are purchased, but the equipment must always have good performance and quality. The IT department will have quick access to standard equipment, which will be stocked.
Replacement Purchases
UiO is self-insured, and a regular home insurance policy will not normally cover stolen, damaged, or lost equipment that is borrowed from UiO. In such cases, the equipment must be regarded as lost, and the guidelines for replacement purchases will be the same as for new purchases.
