Registrer services (Request Type)

Does your lab offer services based on requests, such as sample analysis? These services can be registered in BookitLab, allowing customers to easily submit a request form to order a service and track the status of their work.

Create a New Request Type

For each type of service, a Request Type must be created. The Request Type defines, among other things, which form to use, how the cost is calculated, and how the billing is done.

  1. If there is no form that fits the service you are now creating, create a new Custom Form.
  2. Click on ADMIN PANEL at the bottom of the navigation menu (on the left side).
  3. Click on REQUEST TYPES in the navigation menu and then Request Types in the submenu.
  4. Press the Create New Request - related asset button below the table.
  5. Fill in the relevant information in the form and make the necessary configuration.
    • In the PROJECT IS REQUIRED field, you must select the option Always. Other options cause the request status to not be changed to Completed. The issue has already been reported to the supplier and will hopefully be fixed in 2024.
    • The REQUEST CONTACT DETAILS function is currently disabled by the supplier. You can see the user's name and email address from the Users List page (Click on USERS in the navigation menu). If you need contact information beyond the customer's name and email address, the relevant fields must be created in the form.
    • You can set Consumables (Offline Services) in the ALLOWED SERVICES field so that customers can order them, or core admin can add them as needed. When this is used, the MILESTONES / ADDON CHARGES field must be something other than N/A.

  6. Click on the Insert button to save.

Edit Created Request Type

To edit a Request Type, go to the Request Types page (steps 2 and 3 in the previous section) and click on the ID number of the Request Type in the table.

Using Fixed Price per Request or Request Line (row)

The INSTRUMENT PRICE CATEGORY field is used. You must first create an Instrument Price Category which will be selected on the Edit Request Type page. Select the correct Fee Type in Instrument Price Category:

  • When charging per Request, use Request for the Fee Type.
  • When charging per Request Line, use Request (rows) for the Fee Type.
  • If an Instrument Price Category has both Fee Types, the sum of the price per Request and the price per Request Line times the number of rows is charged.

Using Milestones and Partial Billing

With milestones, it is possible to bill when a milestone is achieved, even if the requested service is not completely finished. The cost, such as hourly rate and the number of hours, is manually set in the delivered form.

To use this, you must select Milestones (admins only) in the MILESTONES / ADDON CHARGES field.

To invoice only based on Add-on Services or a manually set milestone price, the Instrument Price Category field must be empty.
