How to send and read encrypted emails

To send encrypted email with red data, you must use Outlook and enable the Red (In Confidence) sensitivity label.

Note

  • You cannot remove the encryption from an email that is encrypted in this way.
  • Recipients of encrypted emails must use Outlook on Windows, Mac, iOS or Android. If the recipient has moved to mail in MS365, they can also read and send encrypted e-mail from outlook.office365.com.
  • You may not forward encrypted email, print it or copy its contents.

How to encrypt an email with sensitive information

  1. Add the recipients of the email.

  2. Select Sensitivity and choose Red (In Confidence Email).

  3. Enter the email's subject and content. Note that emails with sensitive content classified as red in UiO's current classification guide can only be sent internally at UiO and not to external recipients.

  4. Recipients of emails marked with sensitivity labels can only access its content using Outlook. Users of other email clients are encouraged to use https://outlook.office.com.

Note that if you attach a document with the sensitivity label Red (In Confidence), the email automatically get the same label and encryption.

Note that only email marked with the label Red (In Confidence) can only be read by recipients with OWA in Microsoft 365 (outlook.office365.com) and not by recipients with OWA on-prem (mail.uio.no).
