How do I get host access?

Anyone that should be able to invite guests will see the guest administration interface after logging in. If you do not, and think you should, please contact us at gjestereg@usit.uio.no.

How do I invite a guest?

Choose register new guest at the top of the page after logging in. Try to find you guest by searching. If you are lucky the guest has already been a guest at UiO before. If they already exist, you can give them a new role at your unit. Otherwise choose the register new guest button below the search field.

How do I extend my guest's stay?

If the guest is already active you will find them under the Confirmed Guests  dropdown menu. (Alternatively you can try searching for them on the Register new guest page. When you've found your guest, you'll see a list of roles given to the guest. Find the role matching your unit, and click the Choose button on the right of that line. On this page you see the start and end date of the role. Extend their stay by choosing a later end date. Remember to click Save when you are done.

I received an e-mail saying I need to verify my guest. What do I do?

If your guest chose to register manually it is your job, as their host, to look at their ID papers, and verify that their papers match the information in the Guest Registration service. This will likely be a passport number, but may also be a Norwegian national id number. It is important that whatever one is looking at also includes a picture of the person.

My guest isn't receiving my invite. What do I do?

Double check that you wrote the correct email when inviting. You can check this on their info page by either searching for them on the Register new guest page or by finding them in the Sent invitations drop down. The address can be changed at any time (Remember to save). If the address is correct, the invite may be in your guest's spam folder. If it is still missing, check here (Norwegian) if there is a problem with the service, and if not contact us at gjestereg@usit.uio.no.

I have registered the guest, but can't find them in other systems?

The guest will not get a user in other systems(e.g. cerebrum) before the role's start date. If the start date are in the past or the same day as you register the guest, it will take about 1-3 hours before the guest has gotten a user in the various systems. 

What happens after I have verified the guest?

After the guest is verified they will get their user account restored if they already had one. If they did not already have a user account, they will get a new one.

When does the guest receive SMS with information about username and password?

This is the first user account at UiO for the guest

The guest will receive an SMS when the account is created with instructions on how to create a password. This should be ready on the day the guest role starts. 

The guest has an active user account (from employment or studies) at UiO

The account will stay active after the employment or the studies are over, up until the end date of the guest role. The guest is not notified about this and does not have to do anything special, but can continue to use their account as usual. 

The guest has an inactive account at UiO

The user account will be restored. The guest will not be notified about this

If it has been a while since the guest has changed their password for their user account (more than 14 months), they will have to set a new password at passord.uio.no or physically meet IT-help if they don't have the option to use passord.uio.no. Otherwise can they keep using the user account with the password they had when it was active. 

How can I change the guest's phone number?

Hosts can change the phone number of the guests they have access to. This is done by going to the guest's profile where there is a field where the phone number can be changed. 

The guests themselves can also change their own phone number. This is done by logging in to gjest.uio.no and changing their number on their profile page. 

How can I change the guest's e-mail address?

It is only the host that can change the e-mail address of the guest. This is done by going to the guest's profile where there is a field where the e-mail address can be changed.

Who is notified by e-mail when a guest role is about to end?

The host will get an e-mail 7 days before the end date of a guest role. This e-mail will be sent to everyone who has access to the unit where the guest role is registered, independent of which host registered the guest. If there are no hosts on this unit, then all the hosts on the unit above will be noticed instead. 

The guests themselves will be notified about their last role ending. That is, if they have roles at multiple units, only the last role to end will be notified. This notice is sent 14 days before the end date of the guest role, and then again 4 days before the end date. This will be sent to both the e-mail the guest was registered with and their UiO mail. 

How do I move a guest role from one unit to another?

Guest roles cannot be moved between units. Instead a new guest role has to be made on the unit the role should be moved to, and then possibly end the existing role.

How can I change the ID number or passport number of the guest?

It is not possible for hosts to change any of these IDs on the guest. Since this is sensitive data it should not be sent by e-mail. Instead there is a Nettskjema to request changes for this information.
